THE MOST IMPORTANT FACTS ABOUT WORKFORCE MANAGEMENT IN THE CLOUD
Read on, and discover whether all your HR processes can be relocated to the cloud and what to look out for when selecting a service provider.
WHY IN THE CLOUD? THE ADVANTAGES AT A GLANCE
Installing and managing IT solutions in-house calls for a lot of investment – in time as well as resources. For one thing, the IT infrastructure must always be kept up to date in order to guarantee security and availability. Then again, valuable IT staff with the necessary and often cost-intensive expertise, are in limited supply. A Cloud solution eases the burden on the IT department; continuous monitoring of the system in operation along with regular releases and updates for all system components safeguards safety and security and the long-term success of the solution. And thanks to monthly billing on the “pay for what you use” principle, and with no need for separate licensing and support costs for database, application and back-up servers, you benefit from increased cost transparency.
It is also important to choose components that are optimally suited to the application – a decision that requires experience which often only the software manufacturer can provide.
However, operating and maintaining the necessary system components is no more than a requisite basis for the application itself. Reliable, high-performance operation with application availability underpinned by an assured SLA calls for some very specific expertise. Who has the time, or the necessary knowledge, to regularly analyze preventive application logs in order to counteract potential problems in good time?
WHAT SHOULD YOU LOOK OUT FOR WHEN CHOOSING A CLOUD SOLUTION?
Dependent on requirements, a professional Cloud solution should be flexible enough to allow for expansion, for example simply by extending the required resources or adding extra modules. And of course, whether you are an SME or a major company, secure and stable access must be assured for all users.
WHAT SHOULD YOU EXPECT ON THE PART OF THE SERVICE PROVIDER?
You should only decide on a service provider once you are confident of maximum security and stability. Ask yourself the following questions:
- Does the provider promise application availability underpinned by an assured SLA? Are all necessary services covering all aspects of the application included, such as release changes and updates?
- Can the Cloud service provider offer qualified technical and professional support? Because when support comes direct from the solution provider or application manufacturer, optimum expertise is guaranteed.
- Does the provider have a high-security, certified computing center which meets the legal requirements for data protection and data security? The service provider should also be familiar with local data protection and compliance requirements, and abide by these. When choosing the right partner, you are in any case on the safe side when it comes to data protection regulations.
WILL YOU RELOCATE ALL AREAS OF HR TO THE CLOUD, INCLUDING THE ADMINISTRATION OF MASTER DATA?
Provided that a company pursues a clear Cloud strategy and consistently complies with the terms, there are no unnecessary processes. Data protection, which is of particular importance in relation to personal data, will be complied with in equal measure with both Cloud and on-premises solutions.
YOU HAVE DECIDED ON A CLOUD SOLUTION. WHAT PREPARATORY WORK MUST YOU NOW DO?
First of all, it is decisive that you find the right provider. But it is also important to ensure that the solution is well accepted in-house. To this end the IT department should be integrated into the selection process and other specialist departments should be convinced at an early stage that the solution will add value.
WHICH TECHNICAL PRECONDITIONS MUST BE FULFILLED BY COMPANIES SWITCHING THEIR PROCESSES TO THE CLOUD?
Just Internet access – communication with your Cloud solution takes place exclusively via secure protocols. Optionally, and for special interface connections, a side-to-side VPN may be expedient. Cloud solutions are no easier, and no harder to integrate into existing systems that on-premises solutions.
HOW LONG DOES IT TAKE BEFORE A CLOUD SOLUTION IS FULLY USABLE?
A company with around 1,000 employees will generally have access within three to four days to the defined functionality and so also to the opportunities that professional workforce management can unlock.
