Organizing working time the self service way
Employee & Manager Self Service presents important applications and information revolving around time and attendance management and workforce scheduling on a web-based, highly concise and simplified interface. By way of the portal, employees can record their working and project hours, view duty plans, apply for holidays or absence, query working time balances and submit preferred working hours. Once a plan is finalized, the new shift exchange platform offers options of exchanging shifts and working hours with colleagues. By way of Employee & Manager Self Service employees are informed about the offers of other colleagues. When an exchange proposal is launched, the system automatically checks whether statutory or collectively bargained regulations or planning rules, such as qualifications, for example, are adhered to. The preferred duty plan and the shift exchange portal provide employees with more extensive co-determination rights and greater personal flexibility in organizing their working hours. Work-life-balance concepts are supported, while administrative input is reduced.
The task management module supports human resource departments, managers and employees in keeping a firm hold on personnel processes and rapidly responding to events. The inherent logic is plain and simple: when an application is submitted, an entry executed or a rule infringed, task management initiates a previously defined action. Employees, for example, automatically receive a notification when an entry is missing, holiday planning is due or the duty plan has changed. Superiors are notified when working time balances or holiday entitlements exceed a certain value, key qualifications expire and further training is required. Information and notifications are actively dispatched – also to mobile devices such as smartphones or tablets. This increases efficiency on all levels, guaranteeing rapid responses and optimizing the flow of information.
Fair working hours at the push of a button
The automatic duty plan module ensures demand oriented planning of available employees, while giving due consideration to statutory, collectively bargained and company specific requirements. In addition, freely definable ancillary conditions such as qualifications, employee groups, break intervals, remuneration upper limits or employee working time preferences are factored in. The distribution of unpopular working hours and shifts is a new function. These are the Saturdays in retailing, for example, or the night shifts in hospitals.
